The short version
Certificates you create in the Certably app stay on your device. We do not receive them, store them or have any way to read them. On this website, the only personal data we hold is an email address, and only if you hand us one.
What we collect on this site
If you reserve a firm workspace we store the firm name, your name, your email address, the seat band and billing period you chose, and the scheme you told us about if you told us one. We use it to set your workspace up and to contact you about it, and nothing else. Ask us and we delete it.
We ran a pre-launch waitlist until the app was released on 5 August 2026. That form is gone. If you gave us an email address for it we still hold that address and will use it once, to tell you the app is out — email privacy@certably.co.uk and we will delete it instead.
Downloading the app tells us nothing about you. Apple reports aggregate numbers to us and never who you are.
The free calculators run entirely in your browser. Nothing you type into them is sent to us or stored anywhere.
What the app collects — Electrical and Complete
Nothing. Certificates, customer records, site details, photographs and test results are held on your device. If you enable iCloud sync they move between your own devices through your own Apple account, encrypted, and we have no access to that either.
Subscriptions are handled by Apple. We never see your payment details or your name and address.
Your calendar. Certably can add a certificate's next inspection date to your calendar, and — only if you turn it on separately — read today's appointments so it can offer to start the certificate one of them describes. Both happen on your device. Your diary is never uploaded, never sent to us, and never sent to anyone else. The app works exactly as well if you say no to both.
Where Certably reads an appointment, it fills in the site and the client and nothing else. It never fills in a test result from anything other than what you measured and typed.
What the app collects — Firms
The Firms plan is different, and we are not going to blur it. A Qualified Supervisor cannot review a certificate that only exists on somebody else's phone, so certificates, customer records, site details, photographs and test results sync through a Certably workspace that we operate.
That data is held in the UK, encrypted in transit and at rest, and isolated to your firm. We do not sell it, mine it, share it with third parties, or use it to train anything. Your firm can export all of it in a machine-readable format at any time, and we delete it on request when you leave.
Firms plans use named accounts, so we hold each engineer's name and email address, and a log of certificate actions — created, submitted, reviewed, signed or rejected — because that audit trail is the point of the product.
Your rights
Under UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Because the most we hold is a firm reservation or an old waitlist email address, this is usually a one-line request. Email privacy@certably.co.uk and we will action it within 30 days.
You can complain to the Information Commissioner's Office at ico.org.uk if you think we have handled your data badly.
Changes
If this policy changes in a way that affects you, we will say so on this page and email anyone whose address we hold before the change takes effect.
